01 /Overview

An AI platform built to turn how a firm works into something it can run.

MosaiQ Labs is an AI workflow platform for teams and businesses that want to convert complex processes into intelligent, repeatable systems. The product spans workflow building, AI assistants, document and report generation, knowledge and storage, and a growing library of modules that encode how a firm actually operates.

For more than two years I have been the lead product designer behind this platform — embedded full-time as a consultant, partnering with the founders and engineering team to shape the UX architecture, interface design and product direction across every surface of the product.

02 /The challenge

Designing for an AI product where almost everything is possible.

The hardest part of designing a powerful AI platform isn't drawing screens — it's deciding what the product should feel like in the user's hands. The work was about giving shape, language and structure to capabilities that, on their own, can feel limitless.

01

Translating abstract AI capability into clear, predictable user flows.

02

Making deep functionality feel simple — without dumbing it down.

03

Helping new users understand what the platform can actually do for them.

04

Designing for both technical builders and non-technical operators.

05

Creating structure around workflows, modules, documents and assistants.

06

Keeping a fast-growing product surface coherent as new features land.

03 /My role

Two years as the product designer behind the experience.

I have led the UX/UI and product design at MosaiQ Labs for more than two years as a full-time consultant — embedded in the team, close to the founders, and responsible for the design direction across every part of the platform. The work spans product strategy, UX architecture, interface design, workflow and AI interaction design, dashboards, module builders, onboarding, user journeys, prototyping and the design system that ties it all together.

Product design lead

Owned the UX/UI direction and product design decisions across the platform.

UX architecture

Defined how workflows, modules, documents and assistants fit together.

AI interaction design

Shaped how users prompt, edit, review and trust AI-generated output.

Design system

Built the components, patterns and rules that hold the product together.

04 /The approach

Making a powerful product feel quietly easy to use.

Step 01

Simplified complex workflows

Broke advanced product capability down into clear, sequential moments — so users always know what they're doing and what happens next.

Step 02

Clearer navigation and structure

Designed a navigation model that scales as the platform grows, without forcing users to relearn the product every quarter.

Step 03

Made AI actions easier to understand

Gave AI behaviour predictable shapes — prompts, sources, outputs and edits — so the platform feels controllable, not magic.

Step 04

Improved onboarding and first use

Designed first-time flows that show users what the platform can do for them, instead of leaving them to figure it out alone.

Step 05

Reusable components and patterns

Built a library of components and patterns so new modules look, feel and behave like one product.

Step 06

Modern, trustworthy, enterprise-ready

Tuned the interface to feel calm and confident — appropriate for the kind of teams that buy into a platform like this.

05 /Key product areas

The product surfaces I have designed.

The platform is wide. Each of these surfaces has its own users, mental models and edge cases — and each has been shaped, iterated and refined as part of the long-term design work.

01AI workflow builder
02AI assistant experience
03Document & report generation
04Module creation tools
05Knowledge & storage flows
06Dashboard interfaces
07User onboarding
08Settings & account flows
09Design system & component library
10Responsive platform UI
06 /Design direction

A modern, structured SaaS workspace — calm, focused and built for serious work.

The visual direction is minimal but powerful. Structured layouts, clear hierarchy and a restrained palette let the product breathe, while still carrying the density of an enterprise tool. The interface stays out of the user's way when they are deep in a workflow, and steps forward when they need guidance.

Every pattern is built to scale — new modules, new agents, new document types all slot into the same design language. The result is a product that feels coherent today and ready for whatever it becomes next.

07 /Outcome

A more structured, scalable and intuitive AI platform experience.

“The result is an AI platform experience that helps users move from idea to workflow, from prompt to output, and from scattered information to usable business systems — without losing the depth that makes the product valuable in the first place.”
